Privacy Policy
Last updated: November 6, 2026. BallastBook is provided by LONGLINE LABS LLC ("we").
What we collect
- Account details: names and email addresses of the people on your team, and your company name and time zone.
- You sign in with a Longline Labs account; that account service tells us your name, your email address, that the address is verified, and an identifier for your account. Nothing else; we never see its password. The account service is LONGLINE LABS LLC's own, with its own Privacy Policy at account.longlinelabs.com. [Draft wording for the attorney.]
- What you enter: associations (names, unit counts, optional addresses), budgets (amounts, notes, history), and anything in a file you import.
- Billing details, handled by Stripe. We never see or store full card numbers.
- Basic technical records, like when emails were sent and whether they bounced.
- Network (IP) addresses of new trials and invites, to stop spam sign-ups and flooded inboxes. We delete them after two days.
How we use it
Only to run BallastBook: showing your budgets, the few account emails (confirming your email, invites, trial and billing notices), and billing. We don't sell your data, and we don't use it for advertising or to train AI. We don't email board members, owners, vendors or anyone outside your team. We don't track whether you open our emails or click their links.
Who helps us
We use a small number of service providers: Supabase (database and logins), Postmark (email delivery), Stripe (payments), Vercel (hosting), Cloudflare (our web address and our website), and Proton (our support mailbox). They process data only to provide their services to us.
Cookies
We use only the cookies BallastBook needs to work: the ones that keep you signed in, including a short-lived one used while you sign in with your Longline Labs account. Your browser also remembers your light or dark theme choice, on this device only. We don't use advertising or tracking cookies, or outside analytics.
How long we keep it
A file you import is read once and not kept. We save the amounts you choose to bring in, and, so you don't have to set them up again, the file's column layout and the account names you matched. Everything else stays while your account is active. If a trial ends without a payment, we keep your associations and budgets for 30 days. If a paid plan ends, we keep them for 13 months, so you can come back to them. The owner can ask us to delete them sooner. Then we permanently delete them, along with your team's logins. We keep a short internal record that the account was deleted (the company name, the owner's email, and the date), and Stripe keeps past invoices for the books. You can download your data anytime from Settings.
Your choices and rights
You can update your name in Settings and download your data at any time. You can also ask us for a copy of your personal information, to correct it, or to delete it (including deleting your account sooner) by writing to support@ballastbook.com. Some states give their residents these rights by law; we honor them for everyone, and we reply within 30 days.
Security
Each company's data is kept separate, connections are encrypted, and access is limited to the people on your team.
Children
BallastBook is a business tool for management companies. It isn't meant for children, and we don't knowingly collect their information.
Changes to this policy
If we change this policy in a way that matters, we'll update the date at the top of this page and tell account owners before the change takes effect.
